UCOP Data Requests

UC Electronic Information Security Policy BFB-IS-3 requires that data classified at Protection Level 3 or higher is not taken or transmitted off-site unless authorized by the appropriate Workforce Manager or Institutional Information Proprietor (IIP). This site identifies the Institutional Information Proprietor (IIP) for key categories of data stored at UCOP

When is a Data Request required?

This process applies to transfers of data classified at P3 or P4 when the data is being transferred between UC Locations, including transfers for derivative uses (uses that don’t clearly align with the original business purpose for which the data was collected). This process also applies to disclosures to a Supplier or other external entity or organization.

This process does not apply to information requests from the public. For those, contact the Office of Public Records.

How does the process work?

  1. Requester completes the UCOP Data Request (DR) form  (UCOP login required)
  2. Requester submits DR form to the IIP contact(s) for the data category(ies) being requested (see IIP contact list below)
  3. IIP(s) reviews and approves or denies request

To initiate a Data Request, the requester will need to have a clear understanding of the data being requested, where that data is located, the process by which the data will be transferred, and the location where the data will be stored.

If assistance is needed identifying any of these aspects of the request, the requester should work with technical staff and SMEs of the source and destination systems before submitting the request.
