New UCOP Office Building Update as of January 16, 1998

This is to provide you with an update on the new UCOP headquarters building and provides information concerning parking and mail arrangements which may be of use to you.

SCHEDULE

At this point, the project continues to be on schedule for an April 24 completion date. As this date becomes more certain in the next month or so, details of move will be finalized and communicated. Move coordination will occur through your departmental representatives.


PHONE SYSTEM

A new phone system has been selected (Nortel) and will be installed prior to the move into the new building. The system will serve the new building and the Kaiser Building. The current plan is for the same phone numbers to be retained for both those remaining in the Kaiser Building and those moving into the new building. (The Office of Technology Transfer will receive new phone numbers, though). The phone system supports the features most requested during consultation with department representatives: a light to indicate when one has voice mail and the ability to get prompt dial tone after completion of each call.


MAIL DELIVERY & ADDRESS

With respect to mail, the address for the new building will be:

Please do not direct mail to this address until the date of the move. For those departments staying in the Kaiser Center, the mailing address and zip plus 4 remains the same:

UC will operate a mail-only shuttle between the buildings twice per day, at approximately 9 am and 2 pm. Mail destined for transit between the two buildings should be addressed as is current mail intended for internal building distribution; that is, in a brown envelope with the recipient's name and department. In response to requests from a number of you, we have obtained agreement from the U.S. Post Office to put a mail box outside our building for your use in depositing personal mail.


PARKING INFORMATION

Parking rates in the UCOP building have been set at $105 per month. This rate assumes a high occupancy level; if this is not achieved, the rate will increase to a level more like that of the competing commercial lots such as the Kaiser Center. As mentioned in previous correspondence, arrangements also have been made to contract for below prevailing rate parking in City-operated facilities. The rate in one lot, approximately two and a half blocks away, will be about $55 per month for Monday-Friday parking privileges; parking in another closer lot at a higher rate may also be available. Further information about these City-owned lots will be provided as it is available. Use of the City parking will require an indication prior to move in of the number of spaces desired. Therefore, a solicitation of interest in these facilities will be made sometime prior to the move. Parking fees for the UC Building and the City parking will be through payroll deduction only. Details of how to stop Kaiser parking deductions and arrange for deductions for any of these three lots will be provided to you in time to effect such changes in the Berkeley payroll.

No hourly parking will be available in the UCOP-owned portion of the parking structure of the new building. The City of Oakland owns separate parking (with a separate entrance and exit) in the new building and may offer hourly parking in that facility, however, they will not know until March 1 if hourly parking will be offered in this lot. Regardless, hourly parking is available to visitors in lots within a block of the UCOP building.

Limited bicycle parking is also planned for the UCOP garage, the details of which are currently being developed. It would be useful in this regard to have an idea of the number of bicycle riders if free parking was provided in the garage. It would be appreciated if those who would bicycle to work could send an e mail note to: building@ucop.edu to express interest in bicycle parking.


RETAIL SPACE

Last, as to lease of the retail space which is available on the 11th street of the building, no leases have been signed at this time. However, our Real Estate Services group is close to agreement on a lease with a financial institution. A suitable eating establishment is a high priority for some of the retail space and our Real Estate group, in combination with a local Broker, is endeavoring to find a suitable tenant. Further information on identifying such a tenant will be provided as it is available.
