EMPLOYEES MOVING TO 1111 FRANKLIN AND 1111 BROADWAY

This document is intended to give you information on the upcoming moves from the Kaiser Center to 1111 Franklin and 1111 Broadway (The Treasurer's new office). For your future reference, it is also available on the Web at: http://www.ucop.edu/ucophome/services/bldgnews.html


Move Schedule

The upcoming moves have been scheduled as follows:

All moves will begin at 5:00 p.m. Friday night except for the first move, which will begin at 5:00 p.m. Thursday night. All packing must be completed, and all staff will be required to leave the premises, by 5:00 p.m. on the date of their move. Because both Saturday and Sunday will be needed to complete the move, staff are asked to not arrive at the new building until normal working hours the following Monday morning.

Packing instructions and moving boxes will be distributed approximately three weeks prior to each move date.


Caring for your back

When packing and unpacking moving boxes, all staff should be mindful of proper lifting techniques. Any heavy lifting should be left to the professional movers; however, it is recognized that some amount of bending and lifting needs to be done even when emptying and refilling file drawers. Attached to this document is an instructive sheet with "simple techniques to protect your back."


Parking at the new building

Parking at the new building will be available at $105 per month, only via payroll deduction. Parking application forms will be available from your departmental Move Coordinator in mid-April. Instructions regarding cancellation of Kaiser parking and existing parking payroll deductions will also be provided at that time. Cards for access to parking at 1111 Franklin will be distributed prior to the move.

Daily parking is available at a number of lots in the vicinity of the building. While not an exhaustive list, described below are a number of lots that provide daily parking at reasonable rates. Many of the rates quoted are for "early bird parking"- usually for entry before 9:00 or 10:00 a.m.

Currently, hourly parking is available on 11th Street directly across from the new building on Franklin. Additional hourly parking is available in the Pacific Renaissance Parking Structure on Webster, between 10th and 11th, and at the Merchants garage lot on Franklin between 13th and 14th (entrance on Webster). We believe hourly parking will also be available in the City portion of our parking structure at 1111 Franklin within a few months of our occupancy.

A limited number of reduced rate monthly parking spaces are expected to be available in the city's Frank Mar lot on 12th Street between Harrison and Alice, slightly more than two blocks from the new building. Such parking is expected to be made available for $55, only on a monthly basis and by payroll deduction. Unfortunately, details cannot be finalized until the arrangement is approved by the Oakland City Council, which will not occur until mid-April. As soon as we know that we can offer spaces in this lot, employees will be given the opportunity to sign up. If demand exceeds the number of available spaces, spaces will be awarded by lottery. At this point, it does not appear that this parking can be made available to occupants of 1111 Broadway.

Bicycle parking will be available at no cost in the new building parking structure. Bicyclists who wish to utilize this facility will need to sign up in person at the bicycle parking area, which is just inside the entrance to the parking garage on 12th Street, between 8:00 a.m. and 10:00 a.m. on the first Monday following each move. At that time bicyclists will be issued a key to the locked bicycle parking area. Access to bicycle parking will only be available between the hours of 7:00 a.m. and 6:00 p.m., Monday through Friday.


Directions to the New Building

The 1111 Franklin Building is located in the Oakland City Center area, one-half block east of Broadway, between 11th and 12th Streets.

Access by car:

The Oakland City Center area is accessible from Interstate 980 (12th Street exit) and Interstate 880 (Broadway exit).

From the San Francisco Bay Bridge: Take the Bay Bridge to Interstate 580 East, to Interstate 980, take the 12th Street exit towards 11th Street, proceed one block on Brush Street, left onto 11th Street, left onto Franklin, left onto 12th Street to the parking garage.

From the South via Interstate 880: Take Interstate 880 North, to Broadway exit, right on Broadway, turn right onto 11th Street, left onto Franklin Street, and then left onto 12th Street to the parking garage.

From the North via Interstate 80: Take 80 west to 580 east toward towards downtown Oakland/Hayward/Stockton. Take the Interstate 980 west exit on the left, merge onto Interstate 980 west. Take the 12th Street exit towards 11th Street, proceed one block on Brush Street, left onto 11th Street, left onto Franklin, the left onto 12th Street to the parking garage.

From the East via Highway 24: Take 24 west into Oakland, to Interstate 980. Take the 12th Street exit towards 11th Street, proceed one block on Brush Street, left onto 11th Street, left onto Franklin, left onto 12th Street to the parking garage.

Access by public transportation:

Both BART and AC Transit serve the Oakland City Center area along Broadway. The 1111 Franklin building may be accessed from Broadway via a walkway about halfway between 11th and 12th Streets, close to the historic Key Building. If and when the planned hotel is constructed at 12th and Broadway, interior access through the hotel from 1111 Franklin to Broadway will be provided.

BART: Exit the train at the Oakland City Center-12th Street stop. Inside the station, walk toward 11th Street. Take the stairs or escalators located to your left as you walk towards the 11th Street exits. Once on Broadway, the walkway is a few feet from the BART entrance/exit, next to the historic building.

There is also elevator service between the West side of Broadway and 11th Streets and the BART station.

AC Transit: The following bus lines serve the City Center area: 10, 11, 12, 13, 14, 15, 40, 40L, 42, 43, 51, 58, 62, 72, 72L, 73, 82, 82L, 88, 35X, 36X, 58X. Building Access and Security Services at 1111 Franklin

1111 Franklin has a modern, full-featured security system. A security guard will be on duty in the building 24 hours a day.

The lobby of 1111 Franklin will be open to the public during normal business hours: 7:00 a.m. to 6:00 p.m., Monday through Friday. The office areas are restricted at all times to those with building security passes. Occupants will be provided a building security pass the last working day prior to move-in by their department Move Coordinator. Visitors will pick up passes from the lobby security desk.

The security passes will support different levels of access as determined by each department. For employees with normal working hours access, their building pass will permit access to the elevator bank off the main lobby, from which the office floors are accessed. Proximity readers will read the passes as an authorized occupant walks between security turnstiles. Once through the turnstiles, access is available to any office floor of the building.

For employees with extended hour access, their cards will also permit access to the building lobby during non-business hours.

Stairs are available for movement between office floors of the building. For security reasons, however, they cannot be used to enter or exit the building at the street level.


Mail Service

The address of the new building is 1111 Franklin Street, Oakland CA 94607-5200. Mail addressed to the Kaiser Center but intended for occupants of the Franklin or Broadway locations will be delivered by the UCOP mail services group during one of their twice-per-day deliveries between the buildings.

A Federal Express drop box will be located off the 1111 Franklin lobby, in the loading dock area. Incoming express mail will be left at the first floor security desk and the recipient will be called. The department can either retrieve such mail, or it will be delivered in the next twice-per-day mail delivery.


Telephones

Telephone and fax numbers currently in use at the Kaiser Center have been maintained. Other than for those employees currently located in Alameda (Office of Technology Transfer), no phone number changes will occur as a result of the move.

A new telephone and voice mail system will be installed that will serve all three UCOP locations in Oakland. Staff moving to 1111 Franklin will be the first to use the new telephone system, followed by those moving to 1111 Broadway (Treasurer's Office). Employees remaining at the Kaiser Center will use the existing phone and voice mail system until the end of June. Until the transition is completed at all Oakland locations, calls made from the new sites (Franklin and Broadway) to UCOP staff remaining at the Kaiser Center will require dialing 9, then the 7-digit number. Throughout the transition, calls made from the Kaiser Center to the new sites can be made by dialing the 5-digit number (7-xxxx) as is done now.

The new phone system will provide new features and functionality. So that users are fully prepared when they arrive at their new offices, training will be provided prior to each phase of the move. Training sessions will be held on Monday, Tuesday, Wednesday and Thursday of each week starting April 20th. Each week's training will be targeted to those who are moving at the end of that week. The training sessions will be approximately 1.5 hours in duration and will occur at the Kaiser building. Each training session will accommodate approximately fifteen people.

It should be noted that the new voice mail system is a newer version of the existing voice mail system. Commonly used features and functions will not change. However, approximately 15 to 20 minutes of each training session will be dedicated to the use of voice mail. Additionally, users of the new voice mail system will have to initiate (assign their unique password and add a personal greeting) their mail box.

It is highly recommended that everyone attend a training sessions. The phone system is quite different than the one in use today. The training schedule, room number, and registration information will be provided within the next two weeks.

With each phase of the move, IR&C Telecommunications Services staff will be on the floors to answer your questions. There will also be a help line dedicated to answering questions and resolving any service problems.


Recreational/Sports Facilities

There are fitness facilities available in the City Center area. Descriptions follow of three clubs that are in close proximity to the new UCOP building. In addition to these private facilities, showers and changing rooms with lockers, will be available on the 9th floor of 1111 Franklin.


Upon Move-in

Supplemental information will be available to you upon building move in. This will include additional information about building facilities and services, how to request adjustments after move in, local restaurants, and emergency procedures.
