November 2001

Dear Colleagues:

In years past, I have sent you an annual letter in May requesting that you update the list of courses offered by your school to meet the University of California (UC) subject area requirements, commonly referred to as “a-f/g”, used to establish eligibility for freshman admission.  This year, in order to accommodate many requests from schools throughout the state, we have adjusted the timeline for submitting updated course lists to better align with student scheduling at school sites.  Thus, we are now requesting that you submit your 2002-03 course list to the University, following this new timeline:

November 2001                       Request sent to schools to update “a-g” course list (this letter)

February 28, 2002                   Deadline for schools to submit 2002-03 course lists to UC

May 2001                                 Response from UC, providing updated 2002-03 course lists

This new timeline will allow schools to know in the spring which courses have or have not been approved by UC, and allowing time to make necessary schedule changes while students are still on campus, rather than waiting until classes begin in the fall.  I hope this change successfully meets your needs.

In addition to the new timeline described above, there are several other important changes we are implementing for the 2002-03 update cycle.  Some reflect shifts in procedures; others reflect shifts in policy.  The most important changes are highlighted briefly below and explained more fully in the attached “Guide to a-g Requirements”.  All information in this mailing can be found at

www.ucop.edu/a-gGuide .

Changes in procedures:

·        New on-line updates and course submission.  We have developed a new on-line tool for updating your course list and submitting new courses.  The web site can be found at www.ucop.edu/a-gonline.  Attached, you will find a packet that includes: (1) a web site announcement, (2) a flyer describing training sessions in late November/early December, and (3) a registration form for the training sessions.  Enclosed in this packet (in a separate, letter-sized envelope), you will also find important User ID information to access the new system.

Changes in policy:

·        Honors policy.   The UC faculty has clarified policy statements that define which courses are eligible for extra UC honors credit. These clarifications are described on pp. 10-11 of the attached “Guide to a-g Requirements”.

·        Course list adjustments.  Adjustments to course approval policy for specific areas of the a-g subjects adopted in the past have not been reflected in all existing course lists.  In an effort to reflect these adjustments accurately in the Doorways database that houses all schools’ course lists, several changes may occur in your 2002-03 list.   For a detailed description of these changes, refer to pp. 2-3 of the attached Guide to a-g Requirements”.

Lastly, I wish to remind you that it is essential that your staff, parents and students have easy access to the UC-approved course lists, either from the web at www.ucop.edu/pathways/infoctr/doorway_index.html or from printed copies.  In the admissions process, UC staff consult these lists to determine if courses that students report on their admission application are UC approved, and if self-reported honors courses are certified by the University.

Attached, you will find the following documents:

Ø      Guide to a-g Requirements”, including detailed information about the requirements and instructions on how to update your course list

Ø      Information about the new on-line process for updating course lists, including a web site announcement, a training schedule, and registration form for the workshops planned in late November/early December to assist school personnel in taking advantage of this new user-friendly tool

Ø      A formatted copy of your school’s approved course list (as of October 29), on which you should make changes to your course list if you prefer NOT to use the on-line process.

Note: If your school submitted its 2001-02 course list update in August or later, it is likely that newly submitted information will not appear on the enclosed course list.

I thank you for your continued cooperation and urge you to forward your comments and questions.  During the year, please check regularly the “a-g Interactive Guide” web site (at www.ucop.edu/a-gGuide) for updates and information.  As usual, such information will also be communicated via our CalNotes publication.

Sincerely,

Carla M. Ferri, Director
