Description

Document Central is the Office of the President's central records management system. It consists primarily of correspondence, dating from 1983 to the present, which has been selected for current informational and/or enduring value. For each record, the following is captured: index information in the form of descriptors and keywords; tiff format images or locators to images on microfilm; and, since 1997, the full text of the documents. In addition to these items, finding aids (indexes and references) to the paper-based records from the period 1958-1983 are also available. The Document Central records collection is referenced by UCOP users looking for specific correspondence, as well as those researching broader questions and topics. It can be searched over the Web using one or more of several sophisticated search methods, or by browsing documents that are grouped according to the UCOP organizational structure. Summaries of the incoming and outgoing correspondence of senior UCOP administrators that has been captured in Document Central are compiled and transmitted each day via electronic mail to subscribers to the Daily Correspondence Report.

Access

A user account and password are required to access Document Central. The collection is accessed via a Web browser. Browsers certified at this time are: Netscape Communicator 4.x and Microsoft Internet Explorer 5.x.

Technical Information

The collection is indexed by Convera's RetrievalWare on the AIX platform, and uses Sybase as its database. The end user interface to Document Central is Convera's SmartSearch, which employs adaptive pattern recognition and semantic network (concept) search technologies. Kofax's Ascent Capture product is used for front-end scanning and indexing.
