IR&C provides integrated e-mail and calendar services for UCOP through Microsoft Outlook, including Web access to e-mail messages stored on the server. (The url for Web access is owa.ucop.edu.) E-mail messages are stored either on the server or on the desktop. At present, the UCOP server storage limit is 200 MB. Server storage limits necessitate that employees regularly delete messages or move them to the desktop. See the "How to Use Outlook" section below for more information about managing e-mail.
Appropriate Use of E-mail
Any individual who is granted permission to use UCOP communication resources is expected to comply with applicable federal and state laws as well as University and UCOP policies. Appropriate use of UCOP electronic communication resources is governed by the UCOP User Agreement for Electronic Information Resources, the policy on Acceptable Use of Electronic Information Resources, and the University of California Electronic Communications Policy (ECP). All users and providers of UCOP electronic communications resources are expected to be familiar with the provisions of the User Agreement, the Acceptable Use Policy, and the ECP. How to Establish E-mail/Calendar Services
UCOP departments are responsible for establishing, updating, and / or cancelling e-mail/calendar services for employees or contractors. Separate forms must be completed for each type of action. The forms can be found on the UCOP IT Services page. Services generally are established within two business days after the request is submitted.
Spam and Virus Protection
UCOP continually updates methods to manage incoming e-mail messages that may be spam or contain viruses. Currently, a combination of server-level and desktop tools are used to identify and filter messages likely to be spam. Server-based tools detect viruses and clean e-mail attachments.
