UCOP Report to JOG ...
September 8, 1998

Division of Agriculture and Natural Resources Information System - The "effort reporting" module is close to completion, though the users have asked for some additional modifications which will be completed over the next month or so. At that point, deployment for this final module will begin.

Records Systems - The project to convert the records from the former index/fiche-based system into the new system is 99% complete, with final completion scheduled for September 30, 1998.

Year 2000 - Considerable resources are going into upgrading applications to be Year 2000 compliant. All corporate interface files have been reviewed and no changes in interface files are required. An update to the local budget system to address Y2K compliance was distributed to campuses last week. The Corporate Personnel System (CPS) has been converted to be Year 2000 compliant, and work on other corporate systems is underway.

Pathways - The undergraduate admissions component of this Web-based system was modified for this fall's use. The system is sized to handle via the Web up to 50% of all applications submitted for the Fall 1999 term, though only 15-20% of all applications are anticipated to be submitted through this mechanism. Pathways is available for use for Fall 99 applications beginning Monday, September 21.

Demographic Database - The nightly update of employee records and assignment of Net ID's continues. A request to campuses for daily student admission/registration information will be distributed shortly. Upon receipt of student data, UCOP will assign NetID's to students nightly.

Modifications of the Payroll/Personnel system - Among recent noteworthy changes to the system are the implementation of a process to allow nightly updating with transactions generated from the IVR and Web New Hire applications (soon to include 403(b) update as well), the modification of the system to support alternate campus processing options at fiscal year-end, and the implementation of pre-tax parking, transit pass, and vanpool deductions.

Benefits Voice Response/IVR - The system now permits newly hired employees to enroll in health plans over the IVR. A parallel Web application is scheduled to go live at the end of this month (Sept.). Another Web application to permit employees to make changes to their 403(b) contributions is underway. 403(b) loan applications are now exclusively entered over the IVR, eliminating a cumbersome paper process.

UCRS - A new system and process for 403(b) Loan originations, based on Powerbuilder and FileNet Imaging/Workflow, was installed earlier this month.

Systems Development Standards - The Systems Development Standards were revised to indicate the means by which review of major campus projects should occur. In the Winter a solicitation will be made to campuses for any modifications they'd like to suggest.

Corporate System Upgrade - A long term architecture for corporate systems is being developed in parallel with a review of potential technologies.

Contingency Plan testing - A test of the UCRS system operation at UCSD is to be completed by the end of the Fall.

Treasurer's System Upgrade - A project was initiated this summer to define the requirements for a replacement of the Treasurer's Information System. This system, which performs the investment and endowment accounting function for UCOP Financial Management and the University Treasurer's Office, is almost 25 years old, quite complex, and requires considerable on-going attention.

Phase out of dial up modems - UCOP has phased out its dial in modem pool in favor of use of ISP's. The final modem was taken out of service this past week.
