Title Code Enhancements - Development of an enhanced range adjustment capability within the Title Code system is in the testing phase. Modifications to the Payroll system to accommodate the recent addition of sub location in the Title Code system are scheduled for completion at the end of October. A Web inquiry capability for the Title Code system is currently undergoing testing and review by UCOP HR users.
Pathways - The annual update to the web-based undergraduate admissions application system was completed and the system opened on September 19 for completion of applications for the Fall 2002. Campus student admissions staff were heavily involved in testing of the revised application and the interface to local campus systems.
Federal Financial Aid Application (FAFSA) - In conjunction with the Pathways Admissions Application, for the second year under a pilot project with the US Department of Education the on-line Free Application for Federal Student Aid (FAFSA) was successfully populated with Pathways-collected data to avoid students having to enter duplicate data into the FAFSA. In conjunction with the Fall 2002 admissions application, beginning January 2, 2002, this process will move from pilot to production status and operate in this mode indefinitely.
UCRS - The DB2 database conversion project for the Membership system is completed. Cutover occurred in August without any problems. The conversion team will now focus on optimizing the system for processing under DB2.
A revamped support system for processing disability cases in the HR/Benefits office was completed in June as was implementation of Voluntary Distributions on the Web. This system, which was previously available only by IVR, enables retirees to request plan distributions via the Web. It is accessible from the main BENCOM page. Similarly, the UCRS team is extending the 403(b) Loan Application Process, currently available only on IVR, to the Web.
Corporate Systems Upgrade - The student data warehouse project (that will entail use of Sybase IQ instead of Focus as the data repository) is underway. The first component of student data is being made available in the data warehouse this month, with the remaining components being made available throughout the remainder of this calendar year, and the beginning of next year.
Investment Accounting Systems - Contract negotiations were completed with NPO Solutions for a suite of new investment management systems. The project to customize and implement these systems began in August. Implementation of the Accounts Payable, Accounts Receivable and Endowment Database components are scheduled for January, 2002, with other modules (Short term investment pool, general ledger and endowment pool) scheduled for September, 2002).
California Digital Library - The ExLibris Aleph library system project, to replace Melvyl, has begun. Hardware selection should be completed soon.
UC for Yourself - The next employee self service, web-based application--employment verification-is scheduled for production in early October.
Payroll system Web inquiry - The project to add a Web inquiry interface into the Payroll employee database is being packaged for release to the campuses sometime later this month or early next month.
Depreciation Database - Programming of the new system to support tracking of GASB-required depreciation was completed.
IR&C Web Page Redesign - IR&C is working to replace its current Web site, both in content and design.
Desktop hardware and software survey - A survey of desktops is being undertaken, in conjunction with Internal Audit, as part of an effort to consider means of reducing the costs of PC ownership.
Records Management Policies - Work continues on the projects to update the records management Business and Finance Bulletins and the Records Disposition Schedules. The first two policies in the "RMP" series of Bulletins have been revised by the University Records Management Committee, and are in the beginning stages of university-wide review. The first two (of 16) sections of the revised format Records Disposition Schedules Manual have passed through review by the functional areas (experts in purchasing and equipment), receiving very positive feedback. They will supercede counterpart listings in the current Manual in the next few months. Work has begun on reformatting and revising the Payroll and Employee record sections. The Committee anticipates completion of the policy and retention projects sometime in 2003.
Campus Payroll System support - The Payroll support team successfully converted the UCSB payroll system to a generated employee ID in place of SSN.
Electronic Communications Policy - The UCOP implementing guidelines are in development and will be released this Fall
Conversion to DB2 - V6 was completed.
IBM CMOS system upgrade - the UCOP administrative mainframe was upgraded to an IBM 2064-101 during the weekend of September 8.
