Records Management Project UCOP is pilot testing Domino.Doc as a departmental filing and distributed document management system. The product will support collaboration, shared access and storage.
Pathways The web-based undergraduate admission applications system was opened for use on September 25. In addition to modifications that reflect changes to the hardcopy undergraduate admission application, other changes involve improved instructions, help, and clarification of messages. A few other changes are significant in that presentation has changed in an attempt to make the Pathways Admissions Application "friendlier" to applicants. System modifications were also made to support the population of the admissions application database with student records gathered in the "Gateways" outreach system. Some modifications were also made in the design of the system to provide improved response time and increased capability to sustain heavy loads.
Federal Financial Aid Application (FAFSA) In conjunction with the Pathways Admissions Application, a pilot project with the US Department of Education to pre-populate the on-line Free Application for Federal Student Aid was successfully completed this summer with approximately 5% of the Pathways applicants using this mechanism. The Department of Education has agreed to continue the pilot for another year. The Pathways prepopulation of the FAFSA for the next student aid cycle will be available at the beginning of January, 2001.
UCRS A re-engineered, new system for processing Minimum Required Distributions (MRD) was implemented. This project included the development of a "Beneficiary Database" to be used for Benefits users to enter beneficiary information for all UCRS participants. A future use of the beneficiary data is to display information on the annual statements in order to keep the data current. The system greatly streamlines notification to affected individuals of minimum distributions and streamlines Benefits staff work. Conversion of the annuitant and insurance databases from VSAM to DB2 was completed over the weekend of September 23, 24. The final database conversion project is beginning and will continue through the winter.
Corporate Systems Upgrade The personnel data warehouse project (that will involve use of Sybase IQ instead of Focus as the data repository) is on schedule for completion by the end of the calendar year. Work to develop web-based reporting is beginning.
Investment Accounting Systems A consultant has been engaged by the Office of Financial Management to examine workforce improvements that should be considered in the development or acquisition of new applications in this area.
Risk Management The first of three phases of migration to a new in-house supported risk management system was completed in July, along with networking to the 10 claims offices using Cisco VPN technology, PacBell provided frame relay services and UCOP operated Citrix servers. The application is written in PowerBuilder with a Sybase backend running in the UCOP high availability AIX environment. The second phase cutover, to the largest component of the risk management system y is underway of this date, with the first production use of the system scheduled for Monday, October 2. The last phase of the system implementation will occur in early November.
CorporateTime Approximately 44% of UCOP staff are now using corporate time.
Migration to UCLA Administrative Processing The migration of UCOP operational support from Berkeley went well. Effective July 1, purchasing, payroll, accounts payable, travel and related services are performed by UCLA. IR&C assumed considerable workload associated with this transition, assisted ably by Berkeley and UCLA technical staffs.
California Digital Library July Update The July update of the CDL systems occurred as scheduled. The IBM OS/390 system on which the Digital Library operates was upgraded in July to an R26 process. The migration occurred as scheduled and without problems
New software management tools Tivoli distributed management software has been installed for use on SUN and RS/6000 servers.
UC for Yourself the first applications in this University-wide self service suite were put into production in April. Response has been quite positive and there have been no problems reported. The next application, W4 updates, is scheduled for December or January deployment.
Distribution of $19 million parity adjustments Work was completed to support the range adjustment processing of this salary action.
New Method of Depreciation Analysis and support to the Office of Financial Management has been underway since early this summer. A Universitywide IT meeting was held to help alert campus staffs to the new processing and data requirements of this project. Development of specifications are near completion and design work has been started.
OS/390 Net.Data has been installed and enabled to support development of the payroll system web inquiry screens.
Title Code System Two phases of the title code system project (the redesign of the database to handle features such as sub-location and the update of the payroll system Title Code Table) were completed. Development of a replacement Title Code range adjustment process is underway.
