| Records Management Projects - UCOP has three records systems projects currently underway. The first is to
install Domino.Doc to provide distributed document management services to departments. This will support collaboration,
shared access and storage. The second is to upgrade the central records management application from Excalibur EFS
to Retrievalware, a newer version of Excalibur's software. Last, a project to replace the Administrative Policy
and Regents' Minutes databases is in the final definition stage. Completion of the project will permit UCOP to
discontinue use of the mainframe InfoData product, Inquire, used since the mid 80's. Year 2000 - Work on Y2K continues. Since the last report, the remediated versions of the three retirement systems have been put into production. Also, the base payroll system has been time machine tested and the Melvyl system is now undergoing similar testing. Work is currently underway to perform a test of electronic deposits to Wells Fargo and the ACH system. This test should occur later this month or next month. Last, a contingency plan for the UCSB payroll system was developed and reviewed with the campus. Similar plans for UCR, UCSC and UCD are developed and awaiting review with the campuses. Pathways - Images of all undergraduate applications were mounted on a Web site to facilitate campus access and admission application reviews. Benefits Voice Response/Web - The "salary reduction" application was completed and a third application, transferring 403b funds via the Web, is under development. UCRS - The re-engineered retirement process has been completed and is in production. The process encompasses a Web-based front-end tool for Benefits Representatives to enter retirement data and a back-end "Internal Calculator Tool" to complete the final retirement calculations. The process is tied together with an automated workflow processor which involves the imaging and routing of forms and the interface with the mainframe Annuitant and Insurance systems, ensuring that data such as electronic payroll deposit and insurance enrollments are carried forward from campus payroll, if the members so elect. The project to convert DB2 is on schedule, with an estimated completion date of May, 2000. University Directory - Agreement has been reached with the Registrars with regard to data to be supplied. The first student data is planned to be added to the system in September. Similarly, the telecom directory interface is undergoing final review. This directory information is targetted to be provided by campuses to the Directory system in August. Corporate Systems Upgrade - Work on the new financial data warehouse has begun. Schedule completion is October, though this may be a bit optimistic. Mobius Report Distribution System - Implementation continues with good acceptance by users. The UCRS system has been converted to use the RDS and the first use of the system with Payroll data is planned for a pilot implementation at Santa Cruz. Investment Accounting Systems - Major enhancements to the Endowment System to support two new functions, Total Returns Payout and Cost Recovery Assessment, are underway for implementation in July. Similarly, final Y2K modifications for the TIS and GL systems are underway. Definition is also underway to upgrade or replace the various systems that support investment accounting. UCR Payroll System Migration - The UCR system was successfully migrated to UCOP at the end of January. Subsequently, modifications are being made to support the new UCR accounting structure. These modifications will be put into production July 1. Extensity Travel System - UCOP continues to be interested in implementing Extensity. Discussions with Berkeley about a joint implementation have resulted in a decision that if UCOP is to use Extensity it will not be coordinated with implementation on the Berkeley campus. A plan and cost estimate are currently being developed. Risk Management - IR&C is assisting Risk Management with two significant projects. The first is to migrate from a nonY2K compliant version of the system to a new compliant version. The second is the selection of a new system for implementation during 2000. After an RFP, the search for a system has been narrowed down to two systems. A final selection should be made within 90 days. CVU - As part of a reorganization of the California Virtual University, the web server has been migrated from an outside service provider to internal, IR&C support. |
