May 21, 2002

Undergraduate Admissions - Following on the increased popularity of the Pathways Admissions Application, several Admissions Directors' initiatives related to the streamlining of the admissions process are being explored. In the short term, distribution of application images for campus admissions work flow is being facilitated in a pilot with the Riverside campus. A feed of data directly from Pathways to the campuses is under discussion. Collection of information from paper applications into Pathways is in the requirements phase. Work is underway to facilitate the pre-population of the Pathways Admissions Application from the Gateways outreach system as well as California's Student Friendly Services. Under the aegis of the Admissions Processing Task Force, requirements are being developed for a Transfer Applicant Work In Progress data collection site and the use of ASSIST transfer articulation data in the admissions application itself.

Interlocation Transfer of Funds - For the Systemwide Budget Office, requirements for a Web-based Interlocation Transfer of Funds system have been completed and development of the system is currently underway. This system is intended to displace a paper-based process and is planned for deployment this summer.

Employee Systems Initiative - Currently under development are a W4 modeling capability and check stub inquiry functionality.

Web-based Payroll PAN - A Web interface to the PAN subsystem is being developed. We are targeting the end of the month for shipping the product to the campuses.

Payroll System Web Capabilities - The Web inquiry interface for the Payroll employee database was released to campuses. UCD reports a favorable response to use of the system.

Payroll System Web-based Merit Subsystem - The Web-based merit subsystem, using WebSphere and J2EE technologies, is nearing completion and should be available for use by the next major merit cycle.

UCRS - The CAP allocations were successfully posted as of 4/1/02 and the first interest posting applied. A new Health and Welfare Web Page has been added to BENCOM/WEB, showing Medical, Dental, Legal, Life, Depcare, etc. enrollments and coverages. Another "internal" WEB application has been installed for Benefit Representatives to assist employees with special MAC (Maximum Allowable Contribution) catch-up calculations. Loan Originations on the Web is tested and will be installed shortly. This application will provide the same functionality as is currently available on the IVR for employees to apply for 403(b) Loans.

The DB2 Conversion team, having completed the UCRS database conversion, is focusing on functional changes to the UCRS system which take advantage of the new data structures and optimizing the system for processing under DB2.

Corporate Systems Upgrade - Included in the data warehouse this quarter is the data related to the Title Code System.

Investment Accounting Systems - The project to replace the existing investment accounting system with new systems is proceeding. Implementation of the Endowment Database component occurred in February and implementation of the new investment general ledger is scheduled to occur later this month. The remaining major modules (short-term investment pool and endowment pool processing) are scheduled for implementation in the fall of 2002. The accounts payable and accounts receivable modules are scheduled for completion around the beginning of the new calendar year.

GASB Projects - Development of the new handposting (for journal entries) was completed at the end of April. The system is Web-based and uses J2EE/Web Sphere technology.

IR&C Web Page Redesign - IR&C's new Web site went into production recently.

Desktop Hardware and Software Survey - A survey of UCOP desktops has been completed, in conjunction with Internal Audit, as part of an effort to consider a means of reducing the costs of PC ownership. Results show a much less than favorable ratio of support staff to workstations, as compared to Gartner-quoted industry averages.

Records Management Policies - Work continues on the projects to update the records management Business and Finance Bulletins and the Records Disposition Schedules.

Electronic Communications Policy - The UCOP implementing guidelines are in development and will be released soon.

Systems/Servers and Infrastructure - New hardware and storage (1.5 TB) to support the new ExLibris library system has been installed and will be turned over for production testing this week.

VideoTeleconferencing - An H.320 to H.323 gateway has been installed, tested, and used successfully.

Director of Advanced Technologies - IR&C has hired David Walker into the position of Director of Advanced Technologies.
