Title Code Enhancements – Development of an enhanced range adjustment capability within the Title Code system is underway as are final modifications to the Payroll system to accommodate the recent addition of sub location in the Title Code system. A Web interface for inquiry into the Title Code system will be completed this summer.
Pathways – Annual update to the web-based undergraduate admissions application system is nearing completion. More rigorous testing of data from Pathways to the campus admission offices and systems will occur this year, beginning late this month.
Federal Financial Aid Application (FAFSA) – In conjunction with the Pathways Admissions Application, for the second year under a pilot project with the US Department of Education on-line Free Application for Federal Student Aid (FAFSA) is being populated by Pathways-collected data to avoid students having to enter duplicate data into the FAFSA.
UCRS – The DB2 database conversion project for the Membership system is underway. Implementation will occur at the end of June and early July.
The electronic Personal Benefits Statement project was completed in April. Similar to the historical printed Personal Benefits Statements which were distributed annually, this new Web-based system provides the same type of information on-demand. Response has been very positive.
A revamped support system for processing disability cases in the HR/Benefits office will be completed in June. Also targeted for June is the implementation of Voluntary Distributions on the Web. This system, which currently is available only on IVR will enable retirees to request plan distributions via the Web.
Corporate Systems Upgrade – The student data warehouse project (that will entail use of Sybase IQ instead of Focus as the data repository) is underway. Components of student data will be available through the data warehouse throughout the remainder of this calendar year. Users have begun reporting directly against the Personnel information held in the Data Warehouse.
Investment Accounting Systems – A vendor, NPO Solutions, was selected for the six investment accounting systems operated by UCOP. Contract negotiations are underway and the systems are anticipated to be installed by closing, 2002.
Corporate Time – Growth in the use of Corporate Time among UCOP staff continues. Currently approximately 950 staff in 13 departments use Corporate Time.
California Digital Library – The ExLibris Aleph library system was selected as the replacement for Melvyl. An RFP for Unix servers to operate the new system is scheduled for issuance in early June. The new system will be operated in parallel with the existing system for up to a year.
UC for Yourself – The last employee self service, web-based application--W4 update—was made available for use in mid February. Response and usage have been good. An employment verification application is under development as is design of a “check stub” application that will provide one year’s worth of pay data to employees over the web.
Payroll system casual employment enhancement – Based on an audit by the State, plans are underway to determine the feasibility of adding edits to assure that only those eligible for “career” benefits receive them.
Payroll system Web inquiry – The project to add a Web inquiry interface into the Payroll employee database records is nearing the testing phase. This enhancement should be made available to campuses sometime this summer. Subsequently a Web interface to PAN (post authorization notification) data will be developed.
Depreciation Database – Programming of the new system to support tracking of GASB-required depreciation is nearing completion.
UCOP Home Page Redesign – IR&C is working with University Relations at UCOP to update the UCOP home page and to try to provide more consistent and current data on departmental Web sites
Electronic Software Distribution – Pilot use of LANDesk for software distribution has begun in IR&C. Depending upon success, it will be made available for use across UCOP.
Desktop hardware and software survey – A survey of desktops will be undertaken, in conjunction with Internal Audit, as part of an effort to consider means of reducing the costs of PC ownership.
Records Management Policies – Work is underway to update the records management Business and Finance Bulletins and the Records Disposition Schedules. The existing Records Disposition Schedule, which individually lists retention periods for over 1,300 specific records, will be replaced with a schedule that groups records by function. The resulting 200-300 groups will accommodate the easier incorporation of new items - including electronic documents. The first part of the new Schedule covering Purchasing records is currently under review by the university-wide Materiel Managers. Revised Records Management Policies and sections of the Schedule will be released in stages over the next two years.
Campus Payroll System support – The Payroll support team successfully converted UCD and UCR payroll systems to a generated employee ID in place of SSN.
Electronic Communications Policy – The UCOP implementing guidelines are in development and will be released this summer. IR&C will work with General Counsel over the summer to develop guidelines to IT personnel for responding to subpoenas and search warrants.
Conversion to DB2 V6 – Conversion to DB2 V6 is underway.
