Title Code Enhancements – The Web inquiry capability for the Title Code system was put into production earlier this month. Development of an enhanced range adjustment capability within the Title Code system is in the testing phase. Modifications to the Payroll system to accommodate the recent addition of sub location in the Title Code system were completed recently. A web-based update capability to enable campuses to enter campus-specific information is in the planning phase.

Pathways – The annual cycle of undergraduate admission applications was completed at the end of November. 42,144 applications (approximately 43% of the total Fall 2002 applications) were received through the Web-based Pathways system. The system achieved the highest ever level of performance, with no degradation of service even during peak operation during which 110,000 transactions were processed in a single hour (1.077 million transactions on the peak day). At the request of Admissions Directors, preparations are underway to open the Pathways Admissions Application for the Winter and Spring 2003 admissions application cycles, with deadlines of July 31 and October 31, respectively.

Federal Financial Aid Application (FAFSA) – In conjunction with the Pathways Admissions Application, for the third year students are able to complete FAFSA's via the Web , populating their Financial Aid application with data from the admission application. The Web FAFSA system went into production for the 2002-2003 application year on January 1 and will remain in production until the end of July.

UCRS – Currently under development is the software required to determine eligibility and amounts to be distributed in the April 2002 CAP. The project to put 403(b)/DCP distributions on the Web was completed in September. Three concurrent BENCOM projects are underway for implementation in March: A new dynamic Web Main Menu Page which will self-customize depending on the employee's status and enrollments; a new application for employees to apply for 403(b) Loans on the Web; and a new distinct option for employees to view Health and Welfare Information which was previously only available under the electronic Personal Benefit Statement application.

Finally, the Specialized Print Subsystem which supports printing from all Web and IVR applications is being modified to do faxing as well. With this application, Web and IVR applications, as well as ad-hoc requests from Benefits Customer Service, can be automatically faxed as well as, or instead of, printed.

The DB2 Conversion team, having the completed the UCRS database conversion, is focusing on functional changes to the UCRS system which take advantage of the new data structures and optimizing the system for processing under DB2.

Corporate Systems Upgrade – The student data warehouse project (that entails use of Sybase IQ instead of Focus as the data repository) is underway. The first component of student data was made available in the data warehouse last year, with the remaining components being made available throughout this calendar year. Also slated for inclusion in the data warehouse this quarter is the data related to the Title Code System.

Investment Accounting Systems – The project to replace the existing investment accounting system with new systems is going well. Implementation of the Endowment Database component is scheduled for February 19, 2002, with implementation of the new investment general ledger scheduled for April. The remaining modules (Short term investment pool and endowment pool processing) are scheduled for implementation in the fall of 2002.

Employee Systems Initiative – The employment verification application of the UC for Yourself application went into production in October. Currently under development are a W2 modeling capability and check stub inquiry functionality. The project to develop a Web interface to the PAN subsystem is scheduled for completion by the end of the second quarter of the calendar year.

Payroll system Web capabilities – The Web inquiry interface for the Payroll employee database will be installed into production for one campus this month and will be released in pilot to UCI next month. The Web-based merit subsystem, using WebSphere and J2EE technologies is under development and will be available for use by the next major merit cycle.

GASB projects – Development of the new handposting (for journal entries) system is underway, with acceptance planned for the end of April. The system is Web-based and uses J2EE/Web Sphere technology.

IR&C Web Page Redesign – IR&C is working to replace its current Web site, both in content and design.

Desktop hardware and software survey – A survey of desktops has been completed, in conjunction with Internal Audit, as part of an effort to consider means of reducing the costs of PC ownership. Data is currently being analyzed.

Records Management Policies – Work continues on the projects to update the records management Business and Finance Bulletins and the Records Disposition Schedules. The first two foundational policies in the Records Management Program (RMP) series of BFBs have been commented upon by the UCOP office of Coordination & Review and are being prepared for wider review. The remaining ten bulletins are being looked at for possible consolidation. The project to recast the Records Disposition Schedules Manual into a functionally-organized document continues. The first two sections will be presented to universitywide Materiel- and Equipment Managers, respectively, at their next scheduled meetings, for signoff. The Payroll section has received extensive comments from the U-wide Payroll office, and should be presented to the Payroll Managers soon. The Accounting section has been drafted by a subcommittee of the Records Management Committee, which leaves twelve sections of varying complexity to revise: the goal of completion in 2003 is still thought to be attainable.

Campus Payroll System support – The Payroll support team successfully converted the Hastings payroll system to a generated employee ID in place of SSN.

Electronic Communications Policy – The UCOP implementing guidelines are in development and will be released soon.

Systems/Servers and Infrastructure – Planning for the use of Flash Copy on the newly acquired IBM Enterprise Storage Server (Shark) is underway. This will significantly reduce the time required for system backups. First phase of SAN connectivity is complete, connecting IBM and SunUnix systems through McData workgroup-type switches to an older EMC storage array. The IBM 3494/3590 tape library complex has been upgraded for future FICON and Fiber Channel connectivity.
