Validation of Account, Fund & Project Code in OEU

Change in PPS validates account, fund and project code from individual files instead of checking the account/fund coupling. Without the change, the warning message, "Location Account Fund Combination Blank or Invalid," was returned frequently during an online update for what was in most instances a valid account, fund & project code. Change returns appropriate messages when data doesn't match respective file information.

In July 1995, UCSC converted to a new Financial Information System (Banner). New programs were written to create an AFP Account file, an AFP Fund file and a Project Code file. We were unable to reproduce the old Account/Fund file from the new FIS because account and fund coupling does not exist.

Modification was made to system (PPEC053) to check the Account file for valid accounts and the Fund file for valid funds. A more extensive modification was to include code to check a new Project Code file for valid project code.

Validation of Account, Fund & Project Code in Payroll Edit Process

Similar to modification of validation process that occurs during OEU.

Fund coupling does not exist in our new FIS.

Modifications were made to programs PPEDTFT, PPEDTPAY, PPEDTRST, and PPP360 to check the Account file for valid accounts, the Fund file for valid funds and the Project Code file for valid project codes. Also, disabled logic in these programs which generated message 36-033, "Sub Account Code not valid for this Account/Fund" since it was no longer applicable.

New Notification Distribution Classification Codes (NDCC)

Eleven new NDCCs were created so that PAN routing would be aligned with how UCSC divides employee populations and assigns Mandatory Reviewer duties. In addition, some new NDCCs combined populations to decrease entry in EENT.

Because of the way UCSC assigns its work, populations that needed to be isolated included students from staff; work-study and non work-study; Provosts, Acting Provosts and Acting Deans from Academic; etc. All staff programs were combined into one NDCC (i.e., formerly MAP, A&PS & Staff; now MSP & PSS) to reduce EENT entry.

Entails a modification to program PPEI717 to derive new NDCCs.

ARSM Access to EDB, PAR, HDB Using Hierarchy Rules

ARSM modified to allow the hierarchy rules to be processed for EDB, HDB and PAR access.

Local code had been written (first for UCSB) to modify ARSM to allow the hierarchy rules to be processed for EDB access. The same access was needed for the HDB (and anticipated for PAR). This could have been written in separate programs (i.e., modify UCPPPERH & UCPPPPAR) or the system could be modified so that the same program (UCPPPEDB) be called for EDB, HDB and PAR access -- a more elegant solution.

Modification to system to use UCPPPEDB to determine ARSM access to all three databases (i.e., EDB, PAR and HDB).

Creation of New Event: "NBEN"

Benefits activity is highly centralized at UCSC. It was determined that it would be unnecessary to distribute PANs for Benefits Events (BENE) to departments. In order to keep EENT entry to the minimal, a new event, "NBEN," was created that consists of all events except BENE.

To maintain a campus practice of centralized Benefits activity while ensuring that EENT entry would be kept to a minimum. Without this event, all events except "BENE" would have to be entered for an addressee in order to exclude "BENE" in the PAN routing. This change also kept departments from being inundated by BENE PANS.

Various Changes to Functions

For example, adding data elements (e.g., ETAX), not displaying some data elements (e.g., Handicap Status & Veteran Disability), and cloning a function to provide different access to departments (e.g., ETAX - central offices and "XTAX" - departments).

Mostly based on campus decisions of what should be available to departments vs. central offices, and what information should not be viewed by anyone (e.g., Handicap Status).
