Judy Coy reviewed for the group the Deloitte & Touche Report on Corporate Systems. Problems with the Corporate Personnel System include no historical information, the FOCUS programming language is not friendly, the CPS user access environment does not have nifty features such as drill up or drill down menus, there is a lack of integration with other databases, CPS is dependent on timeliness of campus payroll data, the current recharge structure discourages use, and CPS lacks useful user documentation. Short term actions include holding user group meetings, documenting CPS on the Web, improving data quality and timeliness, reviewing the recharge process, and perhaps the use of report distribution software. Longer term actions include creating a modern data warehouse environment which would be accessed by a variety of end user products. User participation will be needed as the data warehouse is designed and query tools are evaluated.


Marit Marino and Karla Holmberg reviewed for the group the new CPS Web site which contains the CPS data dictionary, database masters, campus input specifications, instructions on accessing DOE Laboratory data, instructions on the use of XEDIT to create FOCUS programs, sample focexecs including the focexec for the Statistical Summary report, important dates in CPS history, a list of CPS production reports, the Year 2000 solution, the Title Code System data elements, the Deloitte & Touche Corporate System Review report, and the Costing System user documentation.


The group discussed data element descriptions and suggested that in addition to reflecting useful known tips the data element descriptions should also include warnings about known data problems. The group discussed the list of important dates in CPS history and suggested the addition of the UCSF/Stanford merger, Santa Monica and Mt Zion Hospital to the list. The group requested e-mail notification when new snapshot files are available and the addition of standard defines. The group discussed the feasibility of adding the systems documentation for all CPS reports to the Web site as well as focexecs for all production reports. Since Information Management does not know when systems documentation and production focexecs are being modified, it would be difficult to ensure that the most current up-to-date versions are available on the Web site. However, it would certainly be feasible to move a few production focexecs onto the Web site if users have special requests.


Future plans for the user group include meeting on a quarterly basis, demonstrating the BrioQuery Explorer software product against the Berkeley Information System data warehouse, and sharing how different users download and make use of data.

Marit Marino gave a status report on the CPS Data Warehouse. Programming has begun and the VM FOCUS structure of the current Corporate Personnel System will be the data source for the data warehouse. Data warehouse goals include keeping 1-2 years of monthly snapshot data, keeping a minimum of 5 old October snapshot files, making a subset of Fiscal Year file data available for turnover and fundsource studies, making monthly snapshot data available on a more timely basis, and making some canned reports available on the Web. Data element definition has also begun and separate meetings will be held with individual user offices in order to understand unique data needs.


Michael Cate demonstrated the BrioQuery Explorer software product against the Corporate Financial System data warehouse.

The group requested access to dependent data, Covered Compensation from UCRP, a field that identifies which titles are represented by a bargaining unit, a field which more easily defines Medical Centers, an effective date for both Employee Paid Life Insurance and Executive Life Insurance, redefining UC Paid Disability using Assigned BELI, access to Employee Paid Disability payout, health plan name in addition to health plan code, a field that defines Core Life Insurance as Assigned BELI 2 or 3 or 4, renaming of Insurance Reduction Code to TIP, 2nd character of CTO to define senate faculty, and access to employee home address for Benefits' mailings.

This group discussed the need to study faculty promotions, which involves comparing June to July data each year and being able to do this for past June/July periods. The group also expressed interest in connecting CIP code to employee records for annual AAUDE reporting purposes. This is currently being done manually, and to effect a systems' approach, the CIP code/name would have to be added to the Corporate Account/Fund Profile where campuses would assign CIP to each account number for corporate use. Finally, the group discussed Tidal Wave II and the potential for a 4th quarter added to each academic year, and the need to identify summer research data as well as summer teaching effort.
