    Methodology

    Submit or retrieve files to the University of California Office of the President Production Control group using TCP/IP FTP (File Transfer Protocol) as follows:

    1. FTP to UCCMVSB.UCOP.EDU

    2. Logon ID is FTPUSRn, where n is your campus number (e.g., 1 for BK, 2 for SF, etc.).

    3. Enter your assigned password (contact your local campus File Transfer Contact for password information).

    4. When submitting files, set attributes of FTP of dataset.

      1. Set mode on ASCII as required by your FTP client.

      2. Set file attributes:

        • From a mainframe or DOS client, issue the following command:

          quote site recfm=rr lrecl=llll tracks primary=ttt secondary=ss

        • From a Windows FTP client, issue "site" command as required by your FTP client to supply the following information:

          recfm=rr lrecl=lll tracks primary=ttt secondary=ss

        where the Record Format, rr, and the Record Length, lll, are included in the specifications for each campus file. Allocate ttt by dividing the size of your file in KB by 50. Set ss to 10% of ttt.

        For example, if your file contains 10,000 records and the record length is 210, then:

          File size = 2,100,000
          File size in KB = 2,100
          Tracks primary = 2,100/50 = 42 (set at 42)
          Secondary = 42 x 10% = 4.2 (set at 5)

        Numbers should be rounded up. Site command must be accepted before the file can be transferred.

    5. Transfer the file. Issue command:

      • PUT <your filename> '<UCOP filename>'

        or

        GET '<UCOP filename>' <your filename>

        or

        equivalent COPY command from a Windows FTP client.

      The naming of 'your filename' is left to each location's discretion. However, the UCOP filename must be in MVS format, which means that there must be a period between each dataset level and the entire string must be enclosed in single quotes. Note that the quotes around the UCOP filename are critical from all environments, i.e., mainframe, DOS, and Windows.

      The 'UCOP filename' is included in the specifications for each campus transmission.

    6. When submitting files, send an electronic mail transmittal note to the IS&C Librarian at: isclib@ucop.edu, with a copy to the IM contact responsible for the system, stating that the file has been sent and listing:

      • Campus
      • Contact and Phone
      • File Dataset Name
      • Record Count (including header record, if any)
      • "As of" (cycle) date
      • Creation date

      This transmittal note is a critical part of the file transmission process. Without it, the IS&C Librarian will not know a file has been put by a campus. The record count is often needed to verify the entire dataset has been received.

    File Replacement

    Files with the exact same name overlay each other on the UCCMVSB.UCOP.EDU machine. Therefore if you are replacing a file to correct data errors, the same dataset name should be used and it is not necessary to delete the previous file or issue a new site command.

    However, if the file is being replaced due to a transmission error, the existing file must be deleted and a new site command issued before the file may be re-transmitted. A file also needs to be deleted if the campus is resubmitting to correct DCB information (File attributes). If the file with the wrong attributes is not deleted first, the file that overlays it will end up having the incorrect DCB attributes too.

    In either case, an accompanying electronic mail transmittal note must be sent, stating that this is a replacement file.
