ILL/Document delivery/Requests for print journals to be
returned from storage

Consultation and decision-making process
Devise methods to gather and record the consultation and decision-making
process during phases 1 and 2. Develop a method for assessing the effectiveness
of the consultation and decision-making process prior to the beginning
of the study. The ultimate purpose of this process is to record for the
final report to Mellon the consultation and decision-making process with
an assessment of how effective our collective processes were. Refer to
the CMI proposal objective: "Design and test processes for consultation
and decision-making for selection, processing, relocation and administrative
management of print materials relocated to remote storage."

Publicity for the project
Develop methods to be used to publicize the project at participating
campus libraries. The purpose of the publicity is to make users aware
that the library is participating in a research study and to inform users
about the absence of print journal volumes that have been removed from
the shelves and sent to remote storage.

Recommend a method for updating holdings records in Melvyl to reflect
print journals relocated to storage from a campus library during the study
and whether the holdings record changes could or should be provided to
the campuses to be used in local catalogs. For example, at SRLF deposits
are processed by SRLF staff and holdings records are updated and uploaded
to Melvyl. Local SRLF records are suppressed and not uploaded to Melvyl.
This sub group will develop recommendations for the methodology and specifications
for record changes in Melvyl and the local catalogs.

Costs
The task of this sub group is two fold. The first task will be to develop
a mechanism for gathering information about costs incurred by participating
campus libraries and the RLF's, e.g., the cost of processing a journal
volume to go to remote storage, the cost of storing the journal, the cost
of retrieving the journal. Secondly, the group will work with Gary Lawrence
on models for reimbursing campuses from the grant for their participation
in the project. The subgroup will not be responsible for collecting, compiling
or processing the cost data gathered during the project. Please refer
to Michael Cooper's paper.

Usage data
Survey the campuses to see how usage of print journals is measured and
gathered currently. Recommend in consultation with the Research Advisory
Committee whether or not a standard or uniform method for gathering usage
of print journals is required for the purposes of this study. The subgroup
may also be asked to address issues of electronic usage data for selected
journal titles.

ILL/Document delivery/Requests for print journals
to be returned from storage
Develop strategies for gathering information from users who request that
print journals selected for the study be returned from storage to the
campus via ILL or document delivery. We will need to record the number
of times a print journal selected for the study is requested returned
to the campus from an RLF and the reasons why the electronic version does
not meet the user's needs. The work of this subgroup will involve working
with campus ILL/document delivery units and also the RLF's to determine
the best way to obtain the objective usage data and the more subjective
user preference data (the reasons why the user is requesting print).
